What we collect, why, where it goes, and how to get it back or have it deleted. Last updated 3 October 2026.
Who we are
Simple Smart Media (ABN 69 128 690 370) is a production and content company based in Sydney, NSW. In this policy, "we" and "us" mean Simple Smart Media. You can reach us at hello@simplesmartmedia.com.au.
What we collect
Only what we need to answer you, do the work, and see whether this website works:
- Enquiry details. Your name, email address, phone number if you give one, your company, and whatever you tell us about your business when you contact us, ask for a quote or use the hours calculator on this site.
- Photographs and footage. If you engage us to shoot, we hold images of the people and places we photograph for you, along with the tags and notes that make that library usable.
- Site analytics. When you visit this site we record which pages you see, how far you scroll, what you click, whether the page loaded cleanly, and rough context about your visit: the browser and device you are using, your language and timezone, and the country or region you are in. So we can tell one person's visits apart from another's, we store a random identifier in your browser. That identifier is not your name, your email or your address, and it is not shared with any other site. See Cookies and similar technologies below.
- Anti-spam checks. When you send a form, our spam-prevention service reads a small amount of signal from your browser to decide whether you are a person or a bot. We do not see that signal, and it is not stored with your enquiry.
We do not collect sensitive information as defined by the Privacy Act, we do not buy contact lists, and we do not track you across other websites.
Why we collect it
Enquiries: to reply to you, quote and deliver work, and issue invoices. Marketing email: only if you have opted in. Site analytics: to see which pages people read, what brought them here, and whether the site is fast and error free. Nothing more. We do not sell personal information to anyone, ever.
Cookies and similar technologies
This site does not use cookies. It does store a small amount of data in your browser's local storage: a random visitor identifier and a session identifier used by the analytics described above, so repeat visits from the same browser count as one person rather than several. They are generated in your browser and are not linked to your name or email. If you send us an enquiry, the same identifiers travel with it, so we can see which pages led to it.
You can clear them at any time by clearing site data for this domain in your browser settings. If your browser sends a Do Not Track signal, we honour it and turn analytics off for your visit.
Email and consent
We only send marketing email to people who have asked for it. Every email identifies us as the sender and carries a working unsubscribe link, which we action promptly. This is what the Spam Act 2003 (Cth) requires, and it is also how we would want to be treated. Asking us a question is not consent to a newsletter.
Who else touches it
We use a small number of third party services to run the business. The main ones:
- Cloudflare hosts this site, sits in front of it as a network, runs the database that stores the analytics described above and a copy of each enquiry sent through this site, and provides the anti-spam check on our forms.
- Web3Forms delivers the forms on this site to our inbox by email.
- Google Workspace is where our email lives, so enquiries you send us are received and stored there.
- The rest is the usual small business kit: file storage and delivery, an email newsletter platform (only if you have opted in), and accounting software for invoices. Some of these store data outside Australia.
We choose providers with reasonable security practices and share the minimum they need to do their job. We do not disclose your information to anyone else unless you ask us to, or the law requires it.
Images of people
Photographs from a shoot belong to the client who commissioned them. We publish frames from a job on this site or our own channels only where the client has cleared it, and we hold back anything a subject or client has asked us to hold back. If you appear in a frame on this site and want it removed, email us and we will take it down.
How long we keep it
Enquiries that do not become work are deleted once they are clearly stale. Client records are kept for as long as we work together, and afterwards for the period our tax and record-keeping obligations require. Delivered photography is kept so we can re-supply you, unless you ask us to destroy it.
Site analytics are kept for about a year and then deleted. That is enough to compare this quarter with the same quarter last year, and no longer than we need. This applies to browsing behaviour only. Anything you type into a form follows the enquiry rule above.
Security
We take reasonable steps to protect what we hold: access controls on our accounts, encrypted transfer, and reputable providers. No system is perfect, and we will not pretend otherwise. If a breach occurs that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as required.
Access, correction and complaints
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email hello@simplesmartmedia.com.au and we will respond within a reasonable time, normally inside 30 days. There is no charge.
If you are unhappy with how we have handled your information, tell us first and we will try to fix it. If you are still unhappy, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
If this policy changes we will update this page and the date at the top. Material changes will be flagged to current clients directly.
